What AI help really costs vs. hiring a receptionist

Real 2026 prices for a hire, an answering service and AI phone help, plus what a Fort Myers service shop should actually compare.

Most owners who look into AI help start with one question: what does it cost, and is it cheaper than just hiring someone? It's a fair question, and the honest answer depends less on the sticker price and more on what you're trying to fix.

A small shop doesn't really have a phone problem. It has a front door problem. People need to find you, reach you and get on the schedule, and then hear back about their quote and get asked for a review. Answering the phone is one piece of that. So when you compare costs, compare what each option actually covers, not just the monthly number.

Here are real prices, checked on November 2, 2026, for the three options most Southwest Florida shops weigh.

Option 1: Hiring a receptionist

The U.S. Bureau of Labor Statistics (BLS) says the median pay for receptionists in the Cape Coral and Fort Myers metro area was $17.70 an hour in May 2025, or $36,810 a year. The national median was a little higher, at $18.27 an hour (BLS wage data).

Pay isn't the whole cost. Across U.S. private employers, wages made up 70% of what it costs to employ someone in June 2026, and benefits made up the other 30% (BLS employer costs). That's a national average across all jobs, so a small shop may spend less on benefits. As a rough guide, though, a full time receptionist at the local median could cost around $52,600 a year once benefits are counted, or about $4,380 a month. You'd also cover payroll taxes, training and the time it takes you to hire.

What you get is a real person who knows your customers, can handle odd requests and can help with other office work. What you don't get is nights or weekends. A 40 hour week covers less than a quarter of the hours in a week, and a lot of AC and plumbing calls come in after 5 p.m.

Option 2: A live answering service

Answering services use trained people who answer for many businesses. They usually charge by the minute or by the call. For example:

  • Smith.ai lists its human answering plans at $300 a month for 30 calls, with extra calls at $11.50 each, or $810 a month for 90 calls. Booking appointments on your calendar is an added $1.50 a call (Smith.ai pricing).

These can work well for a shop with modest call volume that wants a human voice on every call. The catch is that costs rise with every busy week, and a storm week or the first hot spell of the year can blow through a plan.

Option 3: AI phone help on its own

AI answering tools pick up every call, any hour, and many can take messages, text a booking link or put the job on your calendar. Their list prices are much lower:

  • Rosie lists plans at $49 a month with 250 minutes, $149 and $299 (Rosie pricing).
  • Goodcall lists $79 a month for up to 100 different callers, then 79 cents each, and $129 a month for up to 500 (Goodcall pricing).

The software is cheap. The work around it is not. Someone has to write what it says, load your prices and service area, connect your calendar, set up call forwarding, decide which calls go straight to your cell and then check the calls to fix what it gets wrong. If nobody does that, a $49 tool can turn into a polite machine that takes messages nobody returns.

The question to ask instead

Instead of asking which is cheapest, ask what happens to a new customer from the moment they search to the moment they leave a review.

  • Can they find you on Google and Maps, and does your listing show your hours and service area?
  • When they call at 7 p.m. on a Saturday, does someone answer and book them?
  • When you send a quote, does anyone follow up if they go quiet?
  • After the job, does anyone ask for a review?

A receptionist covers part of the second question during office hours. An answering service or an AI tool covers more of it. None of them touch the first, third or fourth on their own. If calls slipping away is the main leak, we wrote about what happens to the calls you miss while you're on a job.

Questions owners ask

How much does an AI receptionist cost per month? Listed prices for AI answering tools we checked in November 2026 start around $49 to $79 a month, with higher tiers from about $129 to $299. Setup, scripting and checking calls are extra work, either yours or someone you pay.

How much does a receptionist cost in Fort Myers? BLS puts the median pay for receptionists in the Cape Coral and Fort Myers metro at $17.70 an hour, or $36,810 a year, as of May 2025. Benefits and payroll taxes add to that.

How much does an answering service cost? Smith.ai, for example, lists $300 a month for 30 calls, and the price rises with your call volume.

Is AI cheaper than hiring someone? On monthly price, usually yes, and it can answer around the clock. A person still handles judgment calls and office work better, so many shops use AI for the overflow and after hours calls and keep a person for the rest.
